1.3 Personal Data is processed via the Website when requesting travel documents such as visas, e-visa, ETA and/or ESTA - in response to which a (digital) document is provided to one or more natural persons (“Customer ”) with which authorization is obtained for the Customer to enter a given country (“Travel Authorization”). If the Customer is under the age of 16, docvisa.com will ask for authorization from the person having parental responsibility for the minor before the latter's Personal Data is processed.

2.1.1 You are a Customer of docvisa.com;

2.3 Additional Personal Data processed by docvisa.com when completing the application form for a Travel Authorization are as follows:

2.3.4 Your partner's name, address, location, nationality, place and country of birth;

2.3.5 Your mother's name, address, location, nationality, place and country of birth;

2.3.8 Name, address and location of your emergency contact;

2.3.9 Data relating to your work and training;

2.4 The particularly sensitive Personal Data that docvisa.com processes when completing the Travel Authorization request form are:

3. Sources

3.1 Generally docvisa.com collects your Personal Data. This is not the case, however, in the following cases:

3.1.1 If docvisa.com receives your Personal Data from another Customer, distributor or supplier and transmits it to docvisa.com so that docvisa.com can fulfill the customer agreement, distributor or supplier in question;

3.1.2 If docvisa.com receives Personal Data from another organization.

  

4. Principles

4.1 docvisa.com collects personal data based on the following principles:

4.1.1 Processing is necessary for the performance of an agreement to which you, your employer or your client are an interested party, or to take measures on your request before the conclusion of an agreement;

4.1.2 On the basis of the legitimate interest of docvisa.com as a commercial enterprise to be able to offer its services, unless your interests or your fundamental rights and freedoms override such interests;

4.1.3 If it proves necessary, docvisa.com will ask for your unambiguous consent for the processing of your Personal Data. For the processing of your particularly sensitive Personal Data, your unambiguous consent will be requested.

  

5. Purpose

5.1 docvisa.com processes Personal Data for the following purposes:

5.1.1 To allow docvisa.com to perform the agreement with you, your employer or client, as defined by, but not limited to, the agreement provide a Travel Authorization valid for a given country.

5.1.2 Allow docvisa.com to identify you through the Website in order to provide you with a Travel Authorization;

5.1.3 Allow docvisa.com, as a commercial enterprise, to request a Travel Authorization to third countries with Personal Data from the competent immigration authorities;

5.1.4 Allow docvisa.com to keep you informed about the status of your Travel Authorization application, as well as to inform you about the start date, expiry date and provisional changes to the validity of your Travel Authorization, as well as to send you news from part of and about the government of your country and the country you are visiting, for the purposes of safe travel and compliance with the regulations of those governments.

5.2 The provision of the Personal Data requested pursuant to points 4.1.1 and 4.1.3 is a necessary condition for the conclusion of an agreement with docvisa.com. In cases where this data is not provided docvisa.com may not be in a position to fulfill the obligations imposed on docvisa.com by virtue of the agreement stipulated or to be stipulated. The provision of the Personal Data requested in point 4.1.2 is not mandatory and is not a necessary condition for the conclusion of an agreement with docvisa.com. If the data is not provided, docvisa.com may not be in a position to perform the services and/or obligations envisaged.

   

6. Data retention

6.1 docvisa.com never stores Personal Data collected for periods longer than the purpose for which they were collected. Personal Data is never retained for periods longer than the terms set out below, unless there is a legal obligation on the part of docvisa.com to retain such data for longer (for example for tax reasons) and unless you have provided authorization to retain Personal Data for longer.

6.2 The retention periods for the various categories of Personal Data are as follows:

- Personal Data of (people employed by) customers and suppliers: 2 years from the end of the last agreement with docvisa.com;

- Personal Data of (persons employed by) potential customers: 2 years from the last contact with docvisa.com;

- Personal data of candidates: 4 weeks from the end of the application procedure;

- Personal Data provided via the contact form on our Website or otherwise voluntarily provided to docvisa.com: 6 months after the expiry of the Travel Authorization or 6 months from the date of last contact with you.

7. Recipients and transmission

7.1 docvisa.com transmits Personal Data to third parties, the so-called "recipients", if this is necessary to achieve the purposes mentioned in this Information. The categories of possible recipients of Personal Data are:

7.1.1 The various Immigration Departments outside or possibly within the EEA;

7.1.2 The Italian Ministry of Foreign Affairs;

7.1.3 Our business partners, our customers and suppliers (in the cloud), for the purpose of entering into an agreement with docvisa.com or in the context of our normal business operations with you, your customer or your employer;

8.1 In addition to the recipients referred to in article 7, docvisa.com may disclose or reveal Personal Data in the following circumstances:
